Privacy policy

How Rotary Youth Exchange handles your personal data.

The Rotary Youth Exchange Foundation (RU) stores personal data on digital media. By registering, you consent to your personal data being stored and used in RU's activities in accordance with the foundation's data protection policy.

We process your data in order to contact you, administer exchanges and fulfil our mission as a non-profit organisation. You have the right to request information about, correction of or deletion of your personal data.

Newsletter

If you tick the box to receive our newsletter, we use your email address to send information about Rotary youth exchanges. The legal basis is your consent. You can unsubscribe at any time via the link included in every newsletter, or by emailing [email protected].

IT services and data processors

To run our activities we use a number of IT services that process personal data on our behalf (data processors):

  • Cloudflare – website hosting and storage of interest registrations.
  • Resend – sending confirmation and notification emails.
  • Odoo – our contact register (CRM) where district officers follow up interest registrations. Data stored within the EU.
  • Brevo – sending newsletters to those who have consented. Data stored within the EU.
  • Scrive – digital signing of registration documents.

Data processing agreements are in place with all processors. Interest registrations that do not lead to an exchange are deleted no later than 24 months after the last contact.

Cookies and web analytics

We use cookies for web analytics (Google Analytics 4) to understand how the site is used and improve it. Analytics cookies are only set if you consent via the cookie banner – you can decline without it affecting your use of the site. The legal basis is your consent, which you can withdraw at any time by clearing this site’s cookies in your browser.
